For employers

  1. 1
    Get set up

Sign up with your work email and open the confirmation link within 24 hours — your company account is created when you confirm. Founding-pilot employers use their invite link and get their plan switched on automatically, with no card required.

    • Plans include a set number of roles per subscription year (Lean 5, Growth 10, Scale 50, Enterprise 100) and team seats (Lean 1, Growth 3, Scale 10, Enterprise 25). The role allowance resets on your subscription anniversary.
    • Founding-pilot employers also get a pilot tile on their dashboard: sign the pilot agreement, answer three short check-in surveys during the pilot, and see your discounted annual plan when the pilot ends.
    • 5% of our net subscription revenue funds grants for job seekers through The Workaround Collective.
  2. 2
    Set your defaults

Open your Account page (click your name in the top-right of the menu) and set things up once so every new role starts ready to go.

    • Calendar sync: connect Google Calendar or Outlook so open slots come from your real availability (optional — you can always set times by hand).
    • Default availability: the days, daily hours, time zone and number of calls each new role starts with.
    • Name on public postings: first name + last initial (recommended), full name, or no name (shown as "the hiring team").
  3. 3
    Invite your team

On the Team page, invite colleagues who hire with you. Owners manage billing and everything else, Admins manage members and hiring, Members hire. Tip: have at least two Admins (or a verified recovery email) so your company can never be locked out.

  4. 4
    Post a role

Go to My requisitions → New requisition.

    • Role details: title, location, work setup, employment type, description, an optional pay range, and when applications close (default two weeks, up to about eight).
    • Interview availability: when interviewing starts, which days, the daily time window, your time zone, any blackout dates, and the maximum number of calls (1–40). Personally is for near-term hiring — you'll confirm you can interview within the next three weeks.
    • Screening questionnaire: 1–10 yes/no must-haves. Applicants must answer Yes to every one to book a call. "Suggest questions" drafts must-haves from your description for you to edit.
    • Built-in compliance: questions that touch protected topics (age, race or national origin, religion, sex or family status, disability or health, genetics, sexual orientation, criminal or salary history) are flagged as you type. Before publishing you'll confirm a short compliance statement; it's recorded in your Compliance log.
    • Reuse it: "Duplicate" a past role or save it as a company-wide template. "Manage templates" on the New requisition page lets you edit or remove templates.
  5. 5
Share it & fill your call slots

Share the role's public link anywhere you recruit — LinkedIn, Indeed, your careers page. Open roles are also listed free on Google for Jobs and job aggregators (you can turn this off per role).

    • Qualified applicants book a 15-minute intro call in your open slots within the next 21 days.
    • The role page shows who qualified but hasn't booked yet (you can resend their booking link), and lets you raise or lower your call cap.
    • When every slot is taken, qualified applicants can join the role's waitlist (you're notified, so you can open more slots) or ask to be kept on file for your other roles.
  6. 6
    Run the intro call

Each call gets its own private video room. You're the host: the candidate waits in the lobby until you let them in. The Join button opens 10 minutes before the call.

    • Add interviewers: on the call, choose a colleague or add a guest by email — they get their own host link.
    • Need to move it? "Reschedule" picks a new time and notifies the candidate and your interviewers.
    • Quick messages like "Running late" or "Ready for you" reach the candidate instantly.
    • Every booking comes with an Add to calendar file, and both sides get a reminder the day before. With a connected calendar the call lands on your calendar automatically.
    • All your calls, upcoming and past, are on the Calls page. Short-notice bookings get their reminder right away.
  7. 7
    Decide & keep candidates informed

After each call, add interview notes and a decision. Notes get the same compliance check as screening questions.

    • Move forward or Not moving forward: the candidate is emailed automatically (you can edit the wording under Message Templates). Bookmark for future keeps them in your talent pool.
    • Mark a No-show if the candidate didn't join.
    • Round 2: invite the candidates you moved forward to a 60-minute follow-up call; they pick a time and you can add teammates or guests.
    • Mark as hired sends your new hire a congratulations note. You can mark more than one hire for the same role, and Undo reverses a mistake. Marking a hire does not close the role — do that next.
  8. 8
    Manage & close the role

Keep the status honest so candidates always see an accurate picture. Use Recruitment status on the role page:

    • Actively recruiting · Requisition paused (no new bookings) · Re-opened · No longer accepting applications · Position(s) filled · Requisition canceled.
    • Setting Position(s) filled (or Paused, Re-opened, Canceled) emails every applicant who asked for status updates — this is how the rest of the pool learns the role is filled.
    • Deadline reminders arrive two days before, the day before, and on your close date — and keep coming after the deadline until you update the status. Need more time? Extend the deadline by up to two weeks.
  9. 9
Talent, records & your data duties

Talent lists everyone you've interviewed plus applicants who opted in to be considered for other roles — search and filter by decision, source or role.

    • You own your hiring data; Personally processes it for you under our DPA. Export anything you're required to keep to your own HR system — CSV export per role or for everything. The HR sync page shows what will sync once direct Workday/Greenhouse sync arrives.
    • Applicants screened out by your questionnaire who didn't opt in to stay on file are deleted automatically six months after applying. Your Data protection page previews what's scheduled for deletion, lets you turn on export reminder emails, and lists any privacy requests about your candidates.
    • Your Compliance log keeps your publish acknowledgments and agreement acceptances.

    Extras

A few more places in the menu:

    • Inbox collects hiring notifications (also emailed to you). Message Templates is where you edit the emails candidates receive.
    • Advising lets you book time with Laurie, our Organizational Partner, for help writing screening questions or planning a hire. Book a single session, or buy a package of sessions and book from it.
    • Your Account page has plan and billing controls: change plan, cancel or resume auto-renew, and billing history & invoices.
    • Stuck? Get help sends a request to our team (optionally tied to a role). You get an email receipt, our reply comes by email, and your past requests are listed on the same page.
Find a role

For job seekers

  1. 1
    Create a free account (optional)

You can apply without an account, but one lets you track all your applications and manage your data in one place. Sign up any time, or tick "Create a free Personally account" when you apply. You'll confirm you're 18 or older, accept the Terms, and open the confirmation email within 24 hours. You can also set a recovery PIN — it lets you verify yourself later if you ever lose access to your email.

  2. 2
    Browse open roles

Each role on the job board shows the description, the hiring manager, how many intro-call slots are left, and when applications close.

  3. 3
    Apply & answer the questionnaire

Click Apply, fill in your details, confirm you're 18 or older, and answer the employer's yes/no must-haves honestly. Then clear the quick "I'm not a robot" check. Tick the status-updates box if you'd like to be emailed about the role.

  4. 4
    Book your 15-minute call

If you meet every must-have, pick an open time within the next three weeks. If all slots are taken, you can join the role's waitlist (the employer is told, so they can open more slots) or ask to be kept on file for the employer's other roles.

  5. 5
    Join the call

Your confirmation email has an Add to calendar file and a link to your call page, and you'll get a reminder the day before. On the call page the Join button opens 10 minutes before the call; you'll wait briefly in the lobby until the hiring manager lets you in. You can also send a quick message ("Running late", "Trouble joining"), reschedule, or cancel from there.

  6. 6
    Hear back — no ghosting

You're emailed when the employer moves you forward or decides not to, and — if you asked for status updates — when the role is filled, paused, re-opened, closed or canceled. You can turn status emails on or off per application.

  7. 7
If you don't meet the must-haves

You decide what happens next: stay in that employer's talent pool for other roles, be considered only if this role re-opens, or delete your application now (if you aren't signed in, we email you a link to confirm). If you don't choose, it's deleted automatically after six months.

  8. 8
    Manage your data anytime

From your account you can track applications, edit your details, export your data, withdraw (or withdraw and delete) an application, or delete your account — instantly, no request needed.
